If your legitimate client emails, newsletters, or invoices are landing in spam folders or disappearing into the void, your sender domain or IP reputation has been compromised. Here is how modern mail exchangers (Google Workspace, Microsoft 365, Proton) evaluate your messages.
1. Missing or Broken Email Authentication (SPF, DKIM, DMARC)
In 2024–2026, Google and Yahoo enforce mandatory email authentication. If your domain lacks proper DNS records, your emails are rejected automatically:
- SPF (Sender Policy Framework): Specifies which IP addresses are authorized to send mail on behalf of your domain.
- DKIM (DomainKeys Identified Mail): Cryptographically signs outbound emails with a private key, guaranteeing messages were not tampered with in transit.
- DMARC (Domain-based Message Authentication): Instructs receiving servers what to do if SPF or DKIM fails (e.g.
p=reject).
2. Your Sending IP or Domain Is on a DNSBL
If your shared hosting IP or dedicated mail server IP was listed on Spamhaus or LashBack UBL, major corporate firewalls will reject your mail with 5xx error codes. Check your email blacklist status here.
